Position Overview
Under the general supervision of the Supply and Logistics Specialist, the Supply and Procurement Associate will handle the preparation of proposals and purchase orders, obtain quotations from vendors, monitor financing status, and maintain financial records for procurement.
Key Responsibilities
- Procurement Processing:
- Review requisitions in SAP/VISION for clarity, specifications, and completeness.
- Confirm fund availability and gather additional required information.
- Compile lists of local and offshore procurement sources, draft solicitation documents, and contact vendors for quotations.
- Prepare summaries of bids, CRC submissions, and award adjudications.
- Draft procurement and logistics correspondence.
- Coordination and Documentation:
- Coordinate meetings related to supply and logistics, including scheduling, sharing files, and preparing minutes.
- Prepare and manage purchase orders and Long-Term Agreements (LTAs), ensure distribution and filing.
- Update supply-contract plans with purchasing document information.
- Financial Monitoring:
- Review and manage allotment account codes to ensure fund availability.
- Record expenditures and inform procurement officers of allotment statuses.
- Follow up on PO/contract status, close contracts after payment, and obtain vendor evaluation forms.
- Records Management:
- Maintain manual and automated procurement files and records.
- Provide purchase information to receiving and inventory staff.
- Maintain procurement supply and vendor reference library.
- Training and Support:
- Provide procedural training to stakeholders.
- Assist with additional tasks as assigned by the supervisor or supply and procurement officers.
Qualifications
Education:
- Completion of secondary education. A Bachelor’s degree in a relevant field may substitute for three years of experience, and a Master’s degree may substitute for an additional two years.

Experience:
- Minimum of 6 years of progressively responsible clerical or administrative work, including specialized experience in purchasing materials and services.
Languages:
- Fluency in English and Turkish is required. Knowledge of another official UN language or a local language is an asset.
Desirable:
- Experience in developing countries or emergency settings.
- Training in Supply and Procurement.
- Experience with SAP is a plus.
