Organizational Context
In response to global hunger levels, WFP’s UN Humanitarian Response Depot (UNHRD) supports humanitarian organizations in emergency responses by providing storage, access to critical supplies, and technical assistance. The UNHRD hub in Subang, Malaysia, plays a crucial role in coordinating local and regional procurement activities.
Job Purpose
The Procurement Associate will support the procurement activities at the UNHRD hub, ensuring efficient procurement of goods and services while adhering to standard processes. The role requires close collaboration with the customer service, logistics, and warehouse management teams within the hub.
Key Accountabilities
- Provide operational coordination and administrative services to support procurement projects and activities.
- Identify and recommend potential suppliers, compiling data and documents to support the selection process.
- Review, record, and prioritize purchasing requests, supporting requisitioners to procure appropriate goods and services.
- Contribute to negotiations with suppliers on terms and conditions of orders, alongside a senior officer.
- Prepare Purchase Orders, contracts, and supporting documentation for approval.
- Resolve issues related to delivered goods by liaising with all parties and following standard procedures.
- Research, collect, and analyze data to produce reports for informed decision-making by Procurement Officers.
- Manage and update databases and records to ensure accuracy and accessibility.
- Maintain relationships with internal counterparts to align procurement activities with wider programs.
- Follow standard emergency preparedness practices to support WFP’s rapid response to crises.
Specific Post Requirements
Essential:
- Strong analytical and reporting skills with attention to detail.
- Excellent communication and negotiation skills.
- Ability to work collaboratively with various teams and stakeholders.

Desirable:
- Certificate in Public Procurement, level 2 – CIPS Accredited.
- Knowledge of another UN language at B level.
- Experience working in the UN common system, international, or non-governmental organizations.
Standard Minimum Qualifications and Experience
- Education: Completion of secondary school education. Additional training in procurement, supply chain management, or a related field is desirable.
- Language: Fluent in English and Bahasa Malaysia, both oral and written.
- Experience: Minimum of 6 years of experience in procurement, supply chain management, or related areas.

Terms and Conditions
- Compensation Package: Competitive, based on the contract type and the candidate’s qualifications and experience.
- Residency Requirements: Applicants must be Malaysian residents holding a valid passport and/or identity card, or a valid Resident Permit to work and live in the country. Must reside within commuting distance (100 km radius) to the UNHRD office in Subang.
