Mandate of the Department
The Eastern and Southern Africa Regional Office and the Namibia Country Office lead and coordinate the UN system’s expanded response to ending AIDS. They focus on scaling up HIV services for key populations, using strategic information to track the epidemic, and strengthening community capacities.
Main Tasks and Responsibilities
Under the supervision of the Country Director (UCD), the Assistant, Office Administration will:
- General Administrative Support
- Address queries on administrative, HR, financial rules and procedures.
- Obtain necessary administrative authorizations and maintain relevant systems.
- Provide general office assistance, including handling correspondence, processing requests, and managing office assets.
- Draft and prepare administrative correspondence.
- Provide informal interpretation services if required.
- Programme and Operational Support
- Assist in organizing meetings, seminars, and training workshops.
- Prepare notes, meeting minutes, agendas, and other event materials.
- Coordinate travel plans for staff and external stakeholders.
- Conduct routine research and compile information for reports and presentations.
- Prepare contracts, monitor expiration dates, track payments, and liaise with official contacts.
- Represent UCO in interagency operations management team within delegated authority.
- Financial Transaction and Monitoring Support
- Perform financial transactions, ensuring accuracy and compliance with UNAIDS policies.
- Maintain and monitor financial records and daily transactions.
- Assist in budget preparation and audits.
- Perform other related duties as assigned.
Required Qualifications
Education:
- Essential: Completion of secondary education or relevant technical/vocational training.
- Desirable: Post-secondary training or certification in office administration and/or accounting.
Experience:
- Essential: Minimum of five years of general office administration experience, including financial matters.
- Desirable: Familiarity with administrative processes of international organizations and experience with UNAIDS or WHO administrative policies.

Annual Salary
