The United Nations Development Programme (UNDP) is looking for a Project Assistant to support the ongoing peace and confidence-building process in Cyprus. This role is based in Nicosia and offers a full-time position under a National Personnel Service Agreement. The contract is initially for one year, with a possibility of extension.

Responsibilities:
Administrative Support to Project Management:
- Assist project manager with management, procurement, HR, and financial tasks.
- Facilitate resource mobilization and track progress.
- Organize meetings and missions; document and follow up on minutes.
- Handle communications with external parties (partners, government offices, donors, etc.).
- Manage contracts and monitor contractual milestones.
- Support recruitment processes and induction.
- Prepare project proposals, closures, and reports.
- Review project payment requests and manage purchase orders.
- Update and maintain project information in UNDP software.
- Create requisitions and check budget registers.
- Develop terms of reference/specifications for project needs.
- Interact with vendors for information exchange on services and payments.
- Participate in tender evaluations if needed.
- Maintain asset and inventory records.
- Support audit and spot-check activities.
- Ensure proper protocol and correspondence guidelines are followed.
- Maintain filing systems and safeguard confidential materials.
- Promote paperless office practices and proper archiving.
Facilitation of Knowledge Building and Sharing:
- Participate in training for operations/projects staff.
- Document and share best practices and lessons learned.
- Contribute to knowledge networks and communities of practice.
- Track and communicate training progress.
- Collaborate with team members on new and existing processes for skill development

Required Skills and Experience:
Education:
- Secondary education or University Degree in Business Administration, Public Administration, or equivalent field.
Experience:
- 5 years of progressively responsible administrative or project experience with a high school diploma.
- 2 years of experience with a bachelor’s degree.
- Proficiency in using office software packages (MS Word, Excel) and web-based management systems.
- Experience with UN or international organizations and knowledge of project management processes, procurement procedures, and web-based systems is advantageous.
Languages:
- Fluency in English and Greek.
Other:
- Must be a national or permanent resident of Cyprus.
- Valid driving license required for official purposes.
