Job Title: Business Support Associate

Background and Purpose of the Assignment
WFP’s five-year development portfolio in Liberia includes social protection safety nets, such as home-grown school feeding and livelihood support through Food Assistance projects. The aim is to stimulate local food production and support the government in enhancing food value chain efficiency, including emergency preparedness and response.
WFP leverages school feeding programs with a solid home-grown school feeding component to deliver climate-smart livelihood support, providing smallholder farmers, particularly rural women, with sustainable markets. This effort includes strengthening smallholder farmers’ resilience to climate-related shocks through community asset creation or regeneration.
WFP aims to enhance food and nutrition security through school feeding and social protection measures, assisting Liberia in implementing hunger solutions.
Duties and Responsibilities
The Business Support Associate will coordinate and control a full range of business support services for the front office and the office of the Country Director to ensure effective service delivery.
Key Functions:
- Executive Assistant Support:
- Provide dedicated executive assistant support.
- Prepare comprehensive reports, documentation, correspondence, briefing notes, etc.
- Conduct research as required.
- Correspondence and Documentation:
- Receive, screen, and log correspondence, reports, etc., and forward to the appropriate officer.
- Maintain a log in the system and ensure timely replies or actions.
- Briefing Materials:
- Prepare briefing materials for the Country Director or Deputy Country Director for official trips or meetings.
- Communication:
- Screen, assess, and refer telephone calls and inquiries to appropriate staff.
- Provide sensitive information and coordinate office-wide responses to inquiries.

- Calendar Management:
- Maintain the Country Director’s calendar, schedule appointments and meetings, and make tentative appointments on their behalf.
- Translation and Interpretation:
- Prepare informal translations and may act as an interpreter.
- Documentation and Typing:
- Draft and type correspondence, documents, and reports, ensuring correct spelling, punctuation, and format.
- Business Support Queries:
- Respond to complex business support queries to provide timely and accurate solutions.
- Records and Databases:
- Oversee the maintenance of records and databases to ensure information is organized and readily available.
- Procedural Advice and Training:
- Provide procedural advice to professionals and train new general services staff on office methods and computer programs.
- File Maintenance:
- Maintain policy, confidential, and general management files.
- Other Duties:
- Perform other related duties as required.

Qualifications
Education:
- Completion of secondary school education. A post-secondary certificate in the related functional area is an advantage.
Experience & Knowledge:
- Six or more years of progressively responsible work experience in general administrative work.
- Specialized knowledge of common business processes, practical business support methods, procedures, and systems.
- Good communication skills to provide specialized business support services.
- Ability to build relationships across functions.
- Experience in coordinating the work of others and training and supporting staff.
- Good organizational skills and the ability to use sound judgment.
- Ability to work effectively in a team environment and with people of different nationalities and cultures.
- Ability to maintain confidentiality.
Language:
- Fluency (level C) in English.
