Job Opening: Administrative Assistant, United Nations Population Fund
Unit: Administrative Assistant -Media and Communications Branch (MCB), Division of Communication and Strategic Partnerships (DCS)
Reporting To: Content & Editorial Adviser
Role: Administrative Associate supporting the editorial team in the production of publications, brand promotional items, and other materials.
Key Responsibilities
- Publications Production:
- Assist in developing and producing print and digital editions of the UNFPA Annual Report and the State of World Population report.
- Serve as secretariat to the interdivisional UNFPA Publishing Group.
- Administer contracts, budgets, payments, and other financial tasks.
- Coordinate translation processes and gather required data for publication.
- Organize repositories for all related documents.
- Administrative Tasks:
- Complete requisitions, purchase orders, receipts, and travel-related transactions using Quantum Finance module.
- Use corporate database systems such as the vendor portal, global directory, AoDocs, and consultant roster.
- Source vendors for specific projects and liaise with the Procurement team on RFP preparation.
- Maintain and provide guidance on Long-term Agreements (LTA) and Memorandum of Agreements (MOA) with vendors.
- Manage the publications section of the One Voice toolkit on MyUNFPA.org.
- Serve as the administrative focal point for promotional items and project production charges.
- Financial and Inventory Management:
- Prepare budget and expenditure reports for planning and follow-up purposes.
- Manage the inventory and distribution of promotional materials and publications in the New York office.
Qualifications and Experience
- Education:
- Completion of secondary level education is required.
- An undergraduate degree or equivalent training/coursework relevant to this post is an advantage.
- Experience:
- At least five years of relevant experience in finance, administration, and publications production, preferably within the UN system.
- Strong organizational and project management skills.
- Proficiency in drafting, editing, and verbal communication.
- Excellent computer skills (Microsoft Office applications and Google suite).
- Knowledge of UNFPA’s work and goals, its programmes, policies, and the United Nations system is desirable.

- Languages:
- Fluency in English is required.
- Knowledge of a second UN language is desirable.
