Position Overview
The United Nations Foundation is seeking an Associate of Events to support the planning, coordination, and execution of events for the United Nations Foundation and Better World Campaign. This role involves providing event-related consultations and advice to UNF campaigns, alliances, and core teams, under the guidance of the Senior Director, Events. The Associate, Global Events plays a crucial role in ensuring seamless event operations and contributing to the overall success of our events. This position is based in New York, NY, and reports directly to the Senior Director of Events.
Essential Functions
- Event Coordination: Collaborate with the Senior Manager to liaise with the Ford Foundation venue partner, manage event applications, attend event information sessions, and provide day-of support for events, including guest escorting and registration.
- Logistics Management: Coordinate event logistics and staffing plans for NY-based events (virtual, hybrid, in-person), especially during high-capacity periods such as the UN General Assembly (UNGA), Commission on the Status of Women (CSW), and High-level Political Forum on Sustainable Development (HLPF).
- On-Site Management: Support on-site event management, including setup, registration, attendee assistance, and coordination of vendors and suppliers, under the supervision of the Senior Director and/or other GCE team members.
- Congressional Delegations: Assist in managing Congressional Delegation trips to UNHQ in New York by booking travel, coordinating schedules with Congressional offices, processing guest lists for UN Security, and supporting day-of logistics.

- Registration Process: Execute the event registration process, including building landing pages, drafting event emails, and sending registration reports.
- Material Preparation: Assist in the preparation and distribution of event materials such as agendas, presentations, signage, promotional items, and graphics.
- Calendar Management: Maintain a shared calendar for event requests and consult with internal partners regarding events, including preferred vendors, programs, and appropriate staffing needs.
- Vendor Negotiation: Assist in negotiating with vendors and editing proposals from supplier partners to ensure all elements are covered, maximize efficiencies, and ensure compliance with budget and company policies and procedures.
- Knowledge Development: Develop and maintain a working knowledge of substantive issues for UNF/BWF program areas and campaigns.
- DC Associate Support: Provide coverage for the DC Associate position, including contract support and inbox monitoring as needed.
- Additional Duties: Perform other duties as assigned.
Selection Criteria
- Education: Bachelor’s Degree required.
- Experience: 1-2 years of event planning experience required.
- Skills: Highly organized, detail-oriented, and proficient in ZOOM, virtual events, and MS Office applications. Knowledge of Splash That, MS Teams, and Salesforce is highly preferred.
- Communication: Strong written and verbal communication skills.
- Travel: Approximately 10% of overnight domestic travel and rare international travel required.
- Interpersonal Skills: Experience and comfort working with socially prominent donors, volunteers, and VIPs preferred.
- Knowledge: Some familiarity with the UN system preferred.
- Physical Demands: Ability to meet the physical demands of the job, including lifting up to 30 lbs.
- Work Environment: Ability to work under pressure and handle stress, with adherence to the regular attendance/tardiness policy.
